Finance update: Group Year End 2025 — plus a couple of reminders!

GROUP YEAR END:

Group transactions

2025 group transactions are now available in Branch Accounting Online, including all December 2025 activity.

You can now:

• Review and analyse your 2025 transactions
• Run the Receipts and Payments Report (Dec 2025)
• Complete the Financial Rules Checklist online (using your MS Society email)

Fixed assets

If your group acquired or disposed of any fixed assets during 2025, please notify the Finance Support Team at [email protected].

Agreed-upon Procedures (AUP)

Groups selected to complete the Agreed-upon Procedures (AUP) have already been contacted. If you haven't received an email confirming selection, no AUP report is required.

The Year-End training module is now available, including full guidance on responsibilities, required forms, and policies.

FINANCE REMINDERS:

Keeping our finances safe and accurate

To protect our groups and the wider charity, it’s important that we all follow the same financial checks. These steps help prevent mistakes, delays, or misuse of funds, and make sure we meet legal and audit requirements. If these controls aren’t followed, it could lead to payment delays or financial errors.

Expense claims

All expense claims must:

• Be supported by receipts
• Be authorised by a member of the Coordinating Team who is not the person claiming
• Have the authorisation clearly stated on the form

This helps make sure expenses are genuine, approved properly, and transparent. Claims that are not correctly authorised may be delayed or rejected.

Paying suppliers on time

It’s really important that suppliers are paid accurately and on time. Late or incorrect payments can damage our relationships with suppliers.

All payments must:

• Be authorised in line with the bank mandate
  
• Follow the Scheme of Delegation

This ensures payments are approved by the right people and reduces the risk of error or fraud.
