Email to GCs and Comms Volunteers about sharing access to group social media accounts

Copy of email sent to Group Coordinators and Communication Volunteers of groups with active social media accounts

Good afternoon,

You may have seen in our e-newsletter on Thursday 13 July that we’re asking all groups who use Facebook, Twitter and/or Instagram to share access to their accounts with us. You can find a copy of the article here. This is so we can help your group maintain the longevity of your accounts.

Often, when the volunteer looking after the social media for a group leaves, or forgets the login details, other members of the group aren’t able to carry on managing the account(s). This has contributed to a high number of group accounts still visible on social media which are ‘dormant’ (no longer active). We carried out an audit of our group’s social media accounts and found:

  • 32 dormant Facebook accounts

  • 48 dormant Twitter accounts

  • 14 dormant Instagram accounts

Many groups who could no longer access their accounts set up new ones to ensure they could still be there to support people in their area.

Why is this an issue?

Multiple accounts and dormant accounts can confuse people who are new to the local group and looking for support via social media. They might think there’s no longer an active group in the area or read out-of-date information.

We’re really keen to help avoid this scenario which is why it’s important to share access to your account(s) with the Volunteer Engagement and Communications Team. Please be reassured that members of staff won’t get involved in the day-to-day management of your account – this is a space for you and your group!

But to future-proof your account and ensure someone will always be able to log into it, please share access with the Volunteer Engagement and Communications Team.

How to share access to your account(s)

Please visit the Volunteer Website by clicking this link for instructions on how to share access to your social media accounts.

You can also find this information in the ‘Maintaining access to your account’ section of the Social Media Toolkit for Volunteers here. In the toolkit, you'll also find lots of handy tips, ideas and guidance on using social media to reach and connect with more people in your area.

Dormant accounts

If your group has a dormant/duplicate account, please let us know the details by responding to this email. We can then check it’s already noted on our records and advise you on the next steps.

If you have any questions, please don’t hesitate to contact us at [email protected]

Best wishes,

Volunteer Engagement and Communications Team
